We are looking for a self-driven Administrative Assistant who will be working closely with our Managing Director and the rest of our Management Team, while helping to make our organization more effective and efficient. Your job will be to effectively streamline our internal operations and office-related processes. From organizing internal documentation and coordinating our MD’s agenda, to staying on top of daily office responsibilities and management of company expenses. You will...

  • Monitor all company expenses and work with our accounting partners as well as organize our internal financial documents, customer invoices and contracts
  • Work with our Project Managers & Sales Representatives to prepare customer-related contracts and invoices
  • Help optimize the organization and maintenance of all brand-related assets
  • Write correspondence and communications on behalf of the company as well as
    follow-up on customer payment receivables that are due
  • Act on behalf of Management in regards to identifying and resolving administrative, productivity and office-related issues
  • Make sure that our office always has the necessary inventory of equipment, stationary and other everyday consumables
  • Assist in the execution of our hiring processes and help cater all new employee onboarding needs
  • Managing incoming telephone calls and emails, as well as keeping record of all incoming communications and meetings.
  • Help enrich our customer relationship (CRM) database
  • Coordinate and manage various stakeholder and company-related events as well as exhibition participation
  • Contribute useful insights & ideas for further improving our team’s happiness & productivity
  • Learn fast by constantly refining your hard and soft skills, as well as your organizing process

You must…

  • Have at least 3 years of experience in a similar role (executive assistant, operations manager)
  • Live in Thessaloniki, Greece
  • Have a Bachelor’s degree or equivalent experience
  • Be comfortable with ERP, CRM and Task Management applications
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Have excellent written and verbal communication skills, both in Greek & English
  • Be very good at managing your own time and resources
  • Have experience in managing multiple priorities and administrative coordination
  •  Have excellent knowledge of MS Office/Google Docs & Outlook/Gmail.
  • Have a driving license
